The opportunity 

 

For our wavespace team, we are looking for an Event and Office Intern. Every day, the EY wavespace™ hosts physical, hybrid and virtual events, from brainstorm and workshop sessions (both internal and with clients) to hackathons and meet-ups with startups and universities. As part of the wavespace, you will help the team by managing the day-to-day administration and organization of our events. This includes handling incoming mails and bookings, making sure the infrastructure of the space is organized, and supporting our virtual and on-site events and productions. You are also a creative thinker that can support and help out with marketing and communication projects where needed. You know your way with technology and you’re curious about the innovation projects the wavespace hosts. 

A day in the life of our Event and Office Intern: It’s an early Monday morning when you have your first virtual meeting with your team to discuss the upcoming wavespace sessions and to-dos. After the meeting, you manage all the incoming mails with requests to book meeting rooms for events at the wavespace. You handle them carefully, making sure that every request is correctly dispatched for follow-up. At 10 AM, you dial into a virtual wavespace session where you are in charge of the technical support. Before lunch, you join a Scoping Call with our EY colleagues during which you are responsible for notetaking. Afterward, you head to the wavespace office in Antwerp, where you have lunch with your colleagues. In the afternoon, you help arrange the wavespace Studio for the upcoming live webinar at 2 PM. When we go live, you support the director and EY colleagues. Next on your agenda is tackling the wavespace office inventory to make sure we have sufficient workshop material available for our upcoming events. You then take a coffee break with a colleague and start setting up everything for the big client event. You contact the facilities department, make sure the reception is prepared, and set up all the screens with content and all technical aspects you need for the event! 
 

This is you:

 

•    You study Project, Event or Office Management, Production, or similar  
•    You’re looking for an internship for at least 3 months 
•    Team player with a positive attitude, drive, and energy  
•    Pro-active multitasker with awesome organizational skills
•    On the other hand, you don’t panic when facing last-minute changes  
•    Not afraid to get your hands dirty when organizing events, looking after our meeting rooms and brainstorming areas  
•    No problem planning your workday according to early-morning meetings or late-evening events. 
•    Fluent in Dutch and English; French or other third languages are a plus  
•    Knowledge of Adobe is a plus

 

Your responsibilities 

 

•    Support of the day-to-day administration (bookings, mailings, internal communication, meeting notes etc.)
•    All things office management (floor management, catering, technology etc.)
•    Support with internal and external virtual and/or face-to-face EY wavespace™ sessions and productions
•    All-round tasks within our team
